1. Who processes your data?
Cynsio is a product of Axenimo BV, Belgium, company number BE 1031.883.129. Contact us at support@axenimo.com.
This policy covers cynsio.com and the application at app.cynsio.com. Axenimo is the controller for its own website, contact requests, accounts, security and billing. For tenant, owner and record data a customer manages in Cynsio, that customer determines the rental-management purposes; Axenimo processes the data to provide the software service. Contact us for arrangements concerning that processing.
2. What data do we use and why?
Contact and demo requests
We receive the details you enter, such as your name, company, email address, portfolio size and message. We use them to answer your enquiry and discuss a demo or getting started. The basis is responding to your request for information or taking steps before an agreement. Separate marketing messages require a separate subscription.
Rent indexation reminder
If you ask for a reminder under a calculation of the rent indexation calculator, we keep your email address, the language of the page and the lease details you entered (region, type of lease, dates, energy label and base rent). We use them to send you one mail a year in the month of your lease anniversary, with the new amount. For that amount we then send those lease details to the official rent calculator of the FPS Economy. You first confirm your address through a link in a mail; without confirmation we send nothing. The legal basis is your consent. You withdraw it with the stop link in every mail, after which we delete the details. If you also tick that Cynsio may contact you, we also use your email address and those details to contact you about managing your rentals. That is a separate, optional consent; you withdraw it by telling us at support@axenimo.com or with the stop link.
Accounts and service delivery
Registration involves your name, email address, optional company name and account-security data. If you arrive through a link with campaign details (utm parameters), we also keep that campaign source with your account, to know which channel brought you to us. Properties, units, leases, tenant and owner contact details, documents, payment data and correspondence can be entered or imported into the application. This data supports rental management and the features the customer uses. Account administration and the agreed service are based on performance of the agreement. The customer is responsible for an appropriate basis for processing their rental records.
Subscription payments
Activating a paid subscription involves the necessary customer, billing and payment references. Mollie processes the payment. Trial registration does not request card details. The bases are performance of the agreement and applicable legal record-keeping obligations.
Operation and security
Technical data such as IP address, browser information, error reports and access and change logs help secure the service and investigate problems. The basis is our legitimate interest in a secure, functioning service. Access to customer data is restricted through user roles.
3. Cookies and measurement
Functional cookies support sessions, language preferences and cookie choices. We request consent for analytics and marketing measurement. You can decline categories or change your choice through the cookie settings at the bottom of the website.
With analytics consent, Google Analytics measures website use and separate events, such as a registration click a successfully created account and confirmed usage steps (lease created, payment file processed and subscription activated). No tenant, property, file or payment details are sent with these events. A click is not a completed account. With marketing consent, Google Ads attribution can be measured. An advertising identifier may be stored in a cookie for up to 90 days. We do not use this measurement for personalised advertising or remarketing.
The cookie choice is used on cynsio.com and the application to apply the same consent. Without analytics consent, Google Analytics measurement of account creation is not loaded; without marketing consent, the Google Ads conversion is not loaded either. Withdrawal stops future measurement based on that consent.
4. Recipients and hosting
We do not sell your personal data. Hosting, storage, email and payment providers are used to deliver the service, including Microsoft Azure and Mollie. Google is used for the measurement described above when you consent. If you use the rent indexation calculator on cynsio.com, your browser sends the lease details you enter (region, type of lease, dates, energy label and base rent) directly to the official rent calculator of the FPS Economy; Cynsio does not receive or store them, unless you ask for a reminder (see above). Data may also be disclosed where legally required.
Product data is hosted in the European Union. International providers may process some data outside the EEA. Such transfers are subject to applicable GDPR safeguards, such as an adequacy decision or standard contractual clauses. Contact us for information about the processing of your own data and the providers involved.
5. How long is data kept?
Retention depends on the purpose: contact details for handling and following up your enquiry, account and record data for providing and winding down the service, and billing data for the period required by legal record-keeping obligations. Security logs are used as needed for security and investigation. Data is not retained indefinitely for an unrelated purpose. Contact us about export, deletion or the specific retention period for your data; applicable retention duties may limit deletion. We keep a rent indexation reminder until you stop it; an unconfirmed one is deleted after 30 days.
6. Your rights
Subject to GDPR conditions, you can request access, correction, erasure, restriction or portability, object to processing and withdraw consent. Send your request to support@axenimo.com. For rental records managed by a customer, you can also contact your landlord or property manager. You can complain to the Belgian Data Protection Authority.
